HOSTEL RULES AND REGULATIONS
- Introduction
The hostel facility is established to provide a clean, safe, and healthy environment for residents. The conduct of all residents will be monitored closely to ensure the highest standards. The authority of the Hostel Management is final on all matters.
- Hostel Management
2.1 The Hostel Management includes:
- Principal – Chief Warden
- Lecturer –Warden
- Administrative cum Accounts Officer
- Resident /Assistant Warden
2.2 The Principal, in collaboration with the warden and Administrative cum Accounts Officer, manages each residential facility.
2.3 Students may approach any of the above officers for help, guidance, and grievance redress. Requests to the Principal must be forwarded through the Warden.
- Eligibility for Admission
3.1 The applicant must be a bonafide student of the Institution.
3.2 The applicant must agree to abide by all hostel rules and regulations.
3.3 If the parents are not residents near Kozhikode, a local guardian must be designated for emergencies.
3.4 Hostel accommodations will be prioritized for first-year students from outside Kozhikode.
3.5 For second and third-year students, accommodation will depend on academic performance and attendance, subject to availability.
- Required Documents (At the Time of Admission)
- APPLICATION FORM (Completed in full)
- Passport-sized photos of the student.
- Correspondence addresses and two contact phone numbers of parents and local guardians
- Photocopy of the hostel admission fee receipt
- Duly signed “Hostel Undertaking Form” (Annexure-1)
- Code of Conduct
5.1 Notices should not be pasted, and walls should not be scribbled on.
5.2 Residents must be in the hostel by 7:30 p.m. Prior permission from the Warden is required for leaving on weekends, holidays, or any other occasion.
5.3 Residents should cooperate with the maintenance team and vacate rooms as required.
5.4 The hostel administration prepares an inventory for each room. Residents must sign the completed inventory form in the presence of hostel administration.
5.5 Any damage to or loss of hostel property will result in recovery costs from the responsible student(s), or collectively if responsibility cannot be ascertained.
5.6 Residents shall not move furniture or fittings without permission.
5.7 Gambling in any form is prohibited.
5.8 Physical or mental harassment, including ragging, will lead to immediate expulsion from the institute.
5.9 Smoking, alcohol, and drug abuse are strictly prohibited. Violations will result in immediate expulsion without exception and legal action.
5.10 Playing loud music or any activity that may disturb others is not permitted.
5.11 Residents must dress appropriately when outside their rooms.
5.12 Residents are advised not to keep money or valuables in their rooms. The hostel authorities do not hold responsibility for any loss.
- Hostel Maintenance
6.1 Residents are responsible for maintaining the cleanliness of their rooms and surroundings.
6.2 All electrical appliances must be turned off when not in use. Penalties apply for non-compliance.
6.3 Cooking is strictly prohibited within hostel premises.
6.4 Hostel management reserves the right to conduct room inspections without prior notice.
6.5 Authorized staff may enter rooms as necessary. Efforts will be made to respect residents’ privacy.
- Visitors/Guests
7.1 All visitors, including parents/guardians, must sign in at the visitor’s log with the security guard.
7.2 Visitors are permitted only during the following hours:
- Weekends and holidays: 10:00 a.m. – 5:00 p.m.
- Weekdays: 5:30 p.m. – 6:30 p.m.
7.3 Residents must ensure visitors adhere to visiting hours. Unauthorized presence outside these hours will result in penalties.
7.4 Overnight stays for visitors are not permitted.
- Use of Appliances
8.1 Electrical appliances like immersion heaters, stoves, or electric irons are banned in rooms. Confiscation and fines will apply for violations.
8.2 Audio devices, such as TVs or DVD players, should not inconvenience other residents.
- Collective Responsibilities
9.1 Residents must report any incidents or undesirable activities to the warden.
9.2 Residents must obtain permission for any gatherings or picnics.
9.3 Theft incidents should be reported promptly to the warden.
9.4 The jurisdiction of SIHM, Kozhikode is limited to the campus. The institute is not responsible for off-campus incidents.
- Hostel Fees Hostel fees are charged for the entire Semester/ academic year. Daily charges are not available. Any damages to hostel property will be charged to the responsible student(s).
- Mess Rules 11.1 Hygienic food will be provided.
11.2 Discipline should be maintained in the dining area.
11.3 The menu will be posted on the notice board.
11.4 Non-residents are not permitted as mess guests.
11.5 A self-service system will be followed in the mess.
11.6 Food is served only during designated dining hours, therefore and taking food to rooms is not permitted.
11.9 Students should avoid food wastage. Conscious, responsible behavior is expected.
11.10 Medical leave requires a certificate for meal exemption.
11.11 Meal timings:
- Breakfast: 7:30 a.m. – 8:30 a.m.
- Lunch: 1:00 p.m. – 2:00 p.m. (holidays)
- Tea: 5:30 p.m. – 6:00 p.m.
- Dinner: 7:30 p.m. – 8:30 p.m. Note: Timings may vary as per class schedules.
- Security and Safety 12.1 Residents are responsible for their personal belongings.
12.2 The Warden is not liable for theft, damage, or injury to residents or visitors.
12.3 Day scholars are not permitted in the hostel.
12.4 Students staying in the hostel due to illness must inform the warden and their class teacher.
12.5 Unauthorized room changes are prohibited.
12.6 Lockers will be provided on a shared basis. Keys must be returned upon vacating the hostel.
12.7 Report missing roommates to the warden within 24 hours.
- Emergencies For emergencies outside office hours, contact the Hostel Warden, Hostel Attendant, or the Security Guards. Emergency contact numbers are displayed on the notice board.
- Hostel Management Rights 14.1 Hostel management reserves the right to revise rules and regulations as needed, with updates posted on notice boards.
14.2 Violations will be reviewed by a disciplinary committee. Disciplinary actions, including expulsion, may be taken against students found guilty.
